Job duties include:
the performance of a variety of secretarial, administrative and paralegal duties. Works in close coordination with VP/GC, but also takes initiative and seeks responsibility. Independently prepares routine documents, maintains docket/calendar items and optimizes VP/GC’s efficiency and effectiveness. Has the ability to produce a consistently error-free work product. Exercises discretion, strict confidentiality and personal judgment in all assignments.
You will:
- Maintain and enforce calendars, schedule appointments, coordinate and prepare for meetings, process expense reports and make travel arrangements
- Support VP/GC with a high level of organization and ability to prioritize multiple tasks.
- Interact with internal clients requiring timely, efficient, professional and accurate responses.
- Develop and maintain effective electronic and paper document filing system for legal and other matters.
- Draft and distribute contracts/correspondence, related calendar/docket reminders and Outlook meeting notices.
- Conduct legal and non-legal research, and compile results, as directed.
- Transcribe dictation, shorthand and/or speedwriting.
The ideal candidate will possess:
- Strong work ethic, judgment, sense of responsibility, and ability to work under pressure.
- Discretion in handling sensitive matters and an ability to maintain strict confidentiality.
- Excellent time management and outstanding organizational skills.
- High proficiency with Microsoft Word, Excel, Outlook, Visio and PowerPoint required.
- Ability to work extra hours as needed on a limited basis for urgent projects that will arise.
- Ability to maintain a professional appearance (culture is business casual).
- Demonstrates excellent time management and communication skills, and the ability to anticipate deadlines and consequences.
- Possesses a pleasant, positive disposition coupled with a “can-do” approach to routine duties and special challenges.
Knowledge/Experience:
- Education: A.A./A.S. plus 10 years applicable experience or B.A./B.S. plus 7 years applicable experience
- Applicable Experience: executive assistant, legal secretary and/or paralegal in a corporate or law firm setting.
- Working knowledge of legal and business terminology a must; familiarity with medical terminology and/or intellectual property (patents, trademarks, copyrights, licensing) a plus.
